ITML > IDOC Monitor: transparency and processing of IDOCs - simple and integrated

The inbound and outbound documents are transported within the SAP ERP system via so-called IDOCs (Intermediate Document). The transport layer is called ALE (Application Link Enabling).

The problem in day-to-day operation is that the procedures for error processing within the SAP system are very complex. This means that only departments with IT expertise will be able to correct data or deal with errors. 

But often, only the operating department has the knowledge to assess the data contents - but unfortunately not the know-how to operate the tools within SAP.

This is precisely where the ITML > IDOC Monitor comes in:

Simple selection and user interface for the operating departments to deal with content errors in the IDOCs (e.g. swapped figures in material numbers, prices not entered etc.).

Function scope
  • Selection by partner, partner type, date, error code etc.
  • Clear screen structure incl. application data (you don't need to click 20 times to bring up the details of an IDOC segment)
  • Editing of the data directly via simple table display subject to authorisation
  • Processing functions performed in foreground or background
  • Replacement of current functions we02, we05, bd87 etc.

IDOC Workflow Engine (automatic error forwarding)

Certain errors unfortunately tend to occur repeatedly. These errors can often be categorised. In some cases, you can define in advance which processing steps are to be performed when a certain error occurs.

This is where the ITML > IDOC Workflow Engine comes in:

The Workflow Engine recognizes processing errors relating to inbound IDOCs.  It processes the errors on the basis of a knowledge database by checking certain parameters required for further processing (who did the IDOC come from, what is its status, what is the error message, who is responsible in-house for this customer, for this interface).

The Workflow Engine will then distinguish three cases:

  1. IDOC is forwarded to the operating department via e-mail or work item (for manual check and processing)
  2. IDOC is deleted or its status set to 'completed' (applicable for instance if sent in duplicate)
  3. IDOC is processed automatically on the basis of the customizing entries (knowledge database) (e.g. several transactions, function modules etc. initiated)

ITML > EDMS

ITML > EDMS is a solution for document selection and mass output for customers, who use SAP Document Management for the material master in production and service modules or consider doing so.

Documents can be searched for by material, equipment and BOM structure and then displayed and output. Spare part BOMs can be compiled from production orders, equipment BOMs and material BOMs.
The selected documents can be saved as different BOMs to allow repeated output in the future.

The program logic allows operating manuals, maintenance, service and operating instructions to be generated automatically at the press of a button. Connection to plot management systems is also possible, as is the output of the files into a directory.

ITML > EDMS compilation and output

Output and generation of documents from:

  • purchase order
  • production order
  • material structure: assemblies and material structures
  • document BOMs
  • equipment BOMs
  • sales order BOMs
  • subordinate documents
Entry of inbound documents as PLM documents

Inbound documents such as purchase orders, delivery notes, correspondence, (material) certificates, batch and serial number data sheets etc. can be created as SAP PLM documents:

  • Direct access via SAPGui and ITML > Solutions
  • Possibility of linking them to all types of SAP objects such as sales order, purchase order, material, equipment etc.
  • Functions like an archiving system with just standard SAP tools
  • Full text search for type-written documents possible 
  • Document type assignment on basis of classification attributes
  • Setting authorisation group based on classification 
  • Scanning process standardises PDFs or TIFFs into long-term formats (PDF /A)
  • Reduction in data volume of up to 40% compared to conventional TIFFs / PDFs
